Teams and project access
Team membership, seat tier, and project access answer three different questions:
- Membership: Is this person part of the team workspace?
- Seat tier: What plan capacity is assigned to that person?
- Project access: Which project can the person open, and what can they do?
Adding someone to a team does not automatically expose every project.
Invite team members
Team owners can open Settings → Collaboration → Invite team members:
- Enter one or more email addresses.
- Choose a team role for each person.
- Assign the available seat tier.
- Review the invitations and reserved seats.
- Send the batch.
A pending invitation reserves its selected seat until it is accepted, revoked, or expires. Owners can resend or revoke pending invitations from Collaboration.
A new Free Team includes only its owner's seat, so it shows 0 open seats and cannot send invitations yet. Select Purchase seats to invite to open Usage & plan, purchase at least two Team seats, then return to Collaboration. If a paid team shows no open seats, every purchased seat is already assigned or reserved; add capacity or revoke an unneeded pending invitation first.
Team roles
- Owner manages the team, members, seats, billing, and eligible project access. A team must retain at least one owner.
- Writer can create projects and receive owner, editor, commenter, or viewer access to individual projects.
- Proofreader is oriented toward review; project access is limited to commenter or viewer behavior.
- Audit can inspect permitted team audit information and sees a project only when explicitly granted access.
The application shows the controls available to the active role. If a required management action is missing, ask a team owner.
Grant project access
An effective project owner opens Settings → Project access:
- Select an active team member.
- Choose the project role.
- Grant access.
Available project roles are:
- Owner — manages the project and its access.
- Editor — writes and manages project content within allowed controls.
- Commenter — reviews and comments without ordinary prose editing.
- Viewer — reads the project without changing it.
A person's team role can reduce the maximum effective project role. Removing a project grant does not remove the person from the team or release their team seat.
Collaboration in a chapter
Presence indicators show who is currently in the chapter. Concurrent edits merge, and offline changes synchronize when each device reconnects. Project history attributes recorded actions to the person or feature that performed them.
Before restoring a manuscript or making a major binder reorganization, coordinate with active collaborators and create a restore point.
Switch workspaces
Use Settings → Account or the account summary to move between your personal workspace and teams. Projects and cached data remain separated by the active workspace; if a project appears missing, first check that you selected the correct account.
